Groups
Custom Groups organize people around teams, departments, clients, or other working units. A group can own or contribute to cases, and its members can receive access through the group rather than through individual grants.
What Group Permissions Change
Section titled “What Group Permissions Change”Each custom group can independently allow:
- The group to own cases.
- The group to contribute to cases.
- Every member to own cases in their own context.
- Every member to contribute to cases in their own context.
These settings determine which ownership and assignment choices appear during case work. See Ownership, Contributors, and Delegates for the resulting case behavior.
Membership Levels
Section titled “Membership Levels”| Level | Impact |
|---|---|
| Admin | Manages the group and its membership and has full access to cases in the group. |
| Member | Can create and work on cases through the group’s configured owner and contributor permissions. |
| Viewer | Receives view access when the group can see a case. |
| Summary Viewer | Sees library-level case details but cannot open the case file. |

Create and Manage Groups
Section titled “Create and Manage Groups”Global and User Administrators can create groups, edit their identity and permissions, manage members, and delete non-system groups. An active Group Administrator can open the Groups page and manage members and viewers for the group they administer. Billing Administrators can view groups but cannot edit them.
To create a group:
- Select New Group.
- Enter a name and short name, plus an optional key.
- Choose the owner and contributor permissions appropriate for the team.
- Select Create, then add members and viewers from the group details panel.
System-defined groups cannot be deleted and most of their fields cannot be changed. If a custom group still owns cases when it is deleted, nQuest requires those cases to be transferred to an eligible user or group.
Plan Impact
Section titled “Plan Impact”Self-service Starter accounts use Simplified Groups. Team and eligible Enterprise accounts can use Custom Groups; a self-service Team account can choose them from Account Settings. Once Custom Groups have been implemented, nQuest prevents self-service downgrade from Team to Starter; contact nQuest Support if you need to change that account structure. See Plans and Billing.
