Users
The Users page controls who belongs to the account and what kind of work each person can perform. Access type determines how a person uses cases; administrator roles determine which account-management responsibilities they have.
Global, User, and Billing Administrators can open the page. Global and User Administrators can create and manage users, while a Billing Administrator has read-only access.
Choose an Access Type
Section titled “Choose an Access Type”| Access type | Impact on the user |
|---|---|
| Investigator | Can add evidence and change case investigations. Uses Investigator capacity. |
| Business User | Can view case evidence and edit limited case data. This is a good fit for administrators and other staff who do not actively investigate. Uses Business User capacity. |
| Client | Has read-only access only to cases explicitly shared with them. The option appears only when Enable Client Access is turned on. |
For case-level owners, contributors, delegates, viewers, and clients, see Working with Others.
Add a User
Section titled “Add a User”- Select New User.
- Enter the person’s name and email address.
- Optionally enter a two-character key used to identify the person elsewhere in nQuest.
- Choose an access type.
- If you are a Global Administrator, assign any required administrator roles.
- Select Create.
The email address cannot be changed after the user is created. If no Investigator or Business User capacity is available, the corresponding access type is unavailable and the New User control may be disabled. A Global or Billing Administrator can review capacity under Current Usage.
Administrator Roles
Section titled “Administrator Roles”- A Global Administrator can manage users and assign administrator roles.
- A User Administrator can create, edit, disable, and delete users, but cannot assign administrator roles.
- A Billing Administrator can view users and use the information to make seat decisions, but cannot edit them.
Client users cannot hold administrator roles. nQuest also prevents administrators from deleting themselves or modifying protected Super Administrator accounts.
Simplified Groups
Section titled “Simplified Groups”On an account using Simplified Groups, a user can be marked Restricted. Restricted users do not receive general access to the account’s shared library; they can work only with cases delegated directly to them.
Simplified Group accounts also use a reduced role list: Billing, Library, and User Administrator roles are not assignable from the Users page. See Simplified Groups and Custom Groups.
Disable or Delete a User
Section titled “Disable or Delete a User”Disable a person when they should no longer use the account but their record should remain. Deleting a user places the record into pending deletion. If the person still owns cases, use Transfer Cases so another eligible user or group takes responsibility. A User or Global Administrator can cancel deletion while it remains pending.
